How to Plan a Family Literacy Night (Without the Stress!)

A Family Literacy Night has become one of my absolute favorite community events to host. There’s just something magical about watching students walk back into school after dark—parents in tow—ready to read, create, explore, and laugh together. After running more Family Literacy Nights than I can count, I’ve learned that the secret isn’t what you include… it’s the process you follow to plan it.

Step 1: Start With a Clear Purpose

Before you even pick a theme or gather materials, take a moment to think about your goals.
Do you want families reading together? Exploring different genres? Learning strategies for supporting reading at home?

Your purpose will guide every other decision you make, so jot it down first.

Then, it’s time to pick a theme! Here’s a few I’ve done in the past:

• Beach
• Camping
• Superhereos
• Pirates
• Movies
• Space
• Amusement Park

Step 2: Map Out Your Space

Your school’s layout becomes your biggest asset on Literacy Night. Think about:

• High-traffic areas for welcome tables and check-ins
  
• Quiet nooks for cosy read-alouds
  
• Large open spaces for movement-based literacy games
  
• Corridors or shared areas for displays and quick-grab activities
  

In the planner, I’ve included an example layout that shows how I map out zones so families can move easily from station to station without feeling crowded.

Pro tip: Make your path a loop. That keeps families moving and reduces bottlenecks.

Step 3: Build Your To-Do List (And Don’t Trust Your Brain to Remember It All!)

Even the simplest event has dozens of little tasks—emails to send, signs to print, tables to set up, things to buy or borrow. The “I’ll remember that later” trap? Been there. Many times.

To simplify things, you’re welcome to use the Organizer Checklist, included in my free pack, to track:

• People to contact
  
• Volunteers to organize
  

Trust me: having it all in one place makes set-up day so much calmer.

Step 4: Gather Sponsors (It’s Easier Than You Think!)

Local businesses love supporting school literacy events—they just need to be asked in the right way. A few places you can start with:

• Bookstores (discount books or donations) I’ve received hundreds of books from a local nonprofit organization donates books to kids.
  
• Bakeries or supermarkets (cookies, muffins, or fruit cups)
  
• Real estate agents or community organizations (printing, signage, vouchers)
  

Your ask can be simple: “We’re hosting a Family Literacy Night to support children’s reading. Would you like to contribute a treat, book, or small prize?”
You’d be surprised how many say yes!

Step 5: Create Your Stations

You don’t need a complicated theme—just a variety of engaging, low-prep activities families can enjoy together.
Here are the stations I try to include at every event:

• Read-Aloud Corner: Cozy, inviting, and perfect for families to settle in together.
• Book Response: An engaging and fun activity in response to a chosen text. 
• Write-the-Room Adventure: Clipboards + themed words hidden around the school.
• Craft Station: Always a hit and wonderfully easy.
• Game Table: Roll-and-read, word sorts, phonics games, etc.
• Make a Snack: Follow a procedural text to make a yummy themed snack on the night
• Photo Booth: A fun, memorable keepsake (plus it encourages families to visit multiple stations!).
• Take-Home Literacy Kits: Simple baggies with books, prompts, or quick activities.
  

Choose 6-8 stations based on your space and staffing. The planner includes a list of ideas you can mix and match.

Step 6: Prep the Flow of the Night

Think through:

• How will families check in?
  
• Will they get a map, a stamp card, or a “passport”?
  
• How will you gather them at the end (or send them off)?
  
• Do you want a raffle, door prizes, or a final read-aloud?
  

A clear flow ensures families have a smooth, positive experience—and makes your life easier too.

Step 7: Enjoy the Event!

You’ve done all the planning. Now let your families explore, read, chat, and soak up the joy of literacy.

(Honestly, the only downside is how tired your feet will be by the time you get home.)
